That you can use tasks to keep track of all your current and future to-dos as well as give assignments to other members of the team. Tasks can be assigned a due date or left open depending on the timing of what needs to be done. When assigning a task to another member of your team, that member will be notified when the task is assigned to them and the person assigning it will receive an alert when it has been completed.
Here are some of the ways that tasks could be used.
Tasks can be created for future follow-ups, whether it's to prompt a reorder, ensure approvals are being received on time or just a reminder to check in with your customers from time to time.
After sending a quote to a customer, add a task with a due date 1 to 2 weeks out to remind yourself to follow-up if the customer hasn't already approved it then. If the customer has yet to respond to the quote, the follow-up is a good reminder to them that they may need to order soon, or if they are not going to continue with the order you may be able to gather some feedback on why and mark it as lost.
Whether sending proofs though DocketManager's proofing feature or using your own email, add a task to follow-up on the proof's approval so that turnaround times can be met.
Use tasks to set reminders when waiting for a customer to send their art files, either create a new task after each follow-up or change the date on the existing task so there is always an on-going reminder.
Tasks are a good way for CSRs or production employees to easily assign items that need review. CSRs may need approval or review of discounts or final prices where production employees may need the quality or color checked on an item prior to completing a full a run.
Have CSRs send tasks to their manager to approve discounts over a certain percent, or when a price is being overridden. If estimators are normally the users creating items, let your CSRs start entering simple jobs and have them use tasks to have the estimators review them.
Production employees can send tasks to their manager or the person handling the customer account to have them check things like pantone matches or the quality of a job prior to running it.
For any task that is just a general to-do for a job or just overall, set them as just a reminder to yourself or your team that they need to be done.
Start using tasks in your day-to-day DocketManager processes to ensure nothing is falling through the cracks.
